How Future of Woolton collects, uses, protects and manages personal information across our website, community work and flagship campaigns.

Future of Woolton CIO — In Formation

Plain-English summary

We collect only the information we reasonably need to run our community work, communicate with supporters and maintain proper records. We do not sell personal information, and we separate contact consent from public-support consent.

1. Who we are

Future of Woolton is being established as a Charitable Incorporated Organisation (CIO). While registration is pending, the Future of Woolton project team is responsible for the personal information collected through this website and its associated community activity.

Save Woolton Baths is being developed as Future of Woolton's first flagship project. Information connected with that campaign may therefore be administered within the same secure operational systems where this is appropriate and transparent.

You can contact us about privacy or data protection at support@futureofwoolton.org.uk.

2. What information we may collect

Depending on how you interact with us, we may collect:

  • your name and contact details;
  • your postcode or general area;
  • the organisation or business you represent;
  • information about volunteering, skills, professional support, sponsorship, materials, funding or other help you offer;
  • correspondence, enquiries, meeting notes and records of our contact with you;
  • consent choices, including whether you have agreed to be contacted or publicly recognised as a supporter;
  • information required to administer donations, purchases or other transactions if these services become available;
  • technical information necessary to operate, secure and improve the website, such as basic server logs and device or browser information.

We do not ask people to provide sensitive personal information unless it is genuinely necessary for a specific purpose.

3. How we use personal information

We may use personal information to:

  • respond to enquiries and correspondence;
  • record and manage community support;
  • coordinate volunteers, professionals, suppliers and partners;
  • send updates where a person has agreed to receive them;
  • maintain accurate campaign, governance, partnership and audit records;
  • administer future donations, fundraising or purchases;
  • protect the website and our systems from misuse or fraud;
  • meet legal, regulatory, safeguarding or governance obligations;
  • understand engagement with our projects and improve our community work.

4. Our lawful bases

UK data protection law requires us to have a lawful basis for using personal information. Depending on the activity, we may rely on:

  • Consent — for example where you choose to receive campaign updates or agree to public recognition.
  • Legitimate interests — where it is reasonably necessary to operate and develop our community projects, manage relationships, keep proportionate records or protect our systems, provided your rights and interests are not overridden.
  • Contract — where processing is necessary in connection with an agreement or transaction.
  • Legal obligation — where we must keep or disclose information to comply with the law.

5. Save Woolton Baths supporter registry

The Save Woolton Baths supporter registry is currently hosted through Beacon AI infrastructure. If you follow a Future of Woolton link to register your support, you may be taken to:

https://beacon-ai.co.uk/savewooltonbaths/support

Information submitted there is used for the Save Woolton Baths campaign and may also be visible within Future of Woolton's secure administration systems because Save Woolton Baths is being developed as its first flagship project.

Permission to contact and permission for public supporter recognition are treated as separate choices.

6. Who we may share information with

We do not sell personal information. We may share limited information where necessary with:

  • service providers that host, secure, email, store or process information on our behalf;
  • professional advisers where advice is required and disclosure is appropriate;
  • payment, fundraising or transaction providers where those services are used;
  • public authorities, regulators or law-enforcement bodies where disclosure is required or permitted by law;
  • project partners where you have agreed to an introduction or where another lawful basis clearly applies.

We aim to disclose only the information that is reasonably necessary for the relevant purpose.

7. How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, for governance and accountability, or to meet legal and regulatory requirements.

Retention periods vary depending on the type of record. Supporter, volunteer, partnership, correspondence, financial and governance records may have different retention needs. Records that are no longer required should be deleted, anonymised or securely archived in line with our records-management arrangements.

8. Your data protection rights

Depending on the circumstances, you may have the right to ask us to:

  • tell you what personal information we hold about you;
  • correct inaccurate or incomplete information;
  • delete personal information;
  • restrict how we use personal information;
  • provide certain information in a portable format;
  • stop processing based on legitimate interests;
  • withdraw consent where we rely on consent.

These rights are not absolute in every situation. To make a request, email support@futureofwoolton.org.uk.

9. Security

We use proportionate technical and organisational measures to protect personal information against unauthorised access, loss, alteration or disclosure. Access to administration systems is restricted according to role and need.

No online system can be guaranteed to be completely secure, so we review our controls as the organisation and its projects develop.

10. Cookies and website technology

The website may use essential technologies needed for security, performance and core functionality. If optional analytics, marketing or other non-essential cookies are introduced, we will provide the appropriate information and consent controls where required.

11. Links to other websites

Our website may link to third-party websites or services. Their privacy practices are controlled by those organisations, so you should review their privacy information when leaving our website.

12. Complaints

If you are concerned about how we have handled your personal information, please contact us first so that we can investigate.

You also have the right to complain to the UK Information Commissioner's Office (ICO). Information about your rights and how to raise a complaint is available from the ICO.

13. Changes to this notice

We may update this notice as Future of Woolton develops, including after CIO registration, when new services are introduced or where legal or regulatory requirements change.

Material changes will be reflected on this page. This version was last reviewed on 12 September 2026.
